Make program fit easy to assess
Publish the current season, age eligibility rules supplied by your organization, training location, schedule, fees, and equipment expectations. A trial request should explain whether a place is confirmed or requires coach review. Keep changes in one approved program record.
Route inquiries through the parent or guardian
For the initial inquiry, collect a parent or guardian contact and only the program details needed to answer. Keep sensitive player information out of a general marketing form. Formal registration, permissions, and payments should follow the organization's chosen process.
What it looks like in practice.
A parent asks about a trial for an age group. The record captures the parent's contact and program interest. A coordinator confirms eligibility and space, then sends the approved registration instructions. The inquiry form itself does not enroll the player.
What to measure.
Track suitable parent inquiries, trial attendance, completed registrations, and recurring questions that indicate missing program information.
